Clinic & Healthcare Software, DPDP-Ready

Custom software for clinics, hospitals and diagnostic labs that fits how your team actually works, with India’s DPDP Act requirements for patient data built in from the start.

Quick answer

What does healthcare software need under DPDP?

Clinics and hospitals are Data Fiduciaries under India’s DPDP Act, 2023. From 13 May 2027 their software must show clear notices and record consent, get verifiable parental consent for under-18 patients beyond what treatment requires, protect data with encryption, access control and one-year access logs, support 72-hour breach reporting, and handle patients’ access, correction, erasure and grievance requests. Kaivan Tech builds clinic software with these controls designed in.

What we build

Custom software for clinics, hospitals and labs

Start with the workflow that costs your team the most time, and add the rest in stages.

Appointment & queue management

Online booking, doctor schedules, walk-in queues and token displays, with reminders that cut no-shows.

Patient records

Visit history, prescriptions, reports and documents in one patient timeline, with access limited by role.

Billing & packages

Consultation and procedure billing, packages, payments, receipts and GST invoices.

Reminders & follow-ups

Automatic WhatsApp, SMS or email reminders for appointments, follow-ups, payments and pending reports.

Lab & diagnostics workflows

Test orders, sample tracking and report delivery to patients and doctors.

Pharmacy & inventory

Medicine and consumable stock, batches, expiry alerts and purchase orders across locations.

Patient communication

WhatsApp and web assistants for FAQs, booking and report status, handing over to staff when needed.

Owner dashboards

Footfall, revenue, doctor utilisation and pending collections across one clinic or a chain.

How we build custom software

Patient data & DPDP

DPDP compliance for healthcare providers

Patient data is personal data under the DPDP Act. These are the controls clinic software needs, with the provision behind each.

Notice & consent at registration

A clear notice listing the patient data collected and why, with separate opt-ins for purposes like marketing (Section 5, Rule 3).

Children’s data

Patients under 18 are children under the Act. Clinical establishments and healthcare professionals are exempt from verifiable parental consent only when processing is restricted to providing health services to the child (Rule 12, Fourth Schedule); other uses, such as marketing, still need it (Section 9, Rule 10).

Security safeguards

Encryption, role-based access, backups and access logs kept for at least one year (Rule 6).

Breach readiness

Detection, an incident log and templates to inform affected patients without delay and report to the Board within 72 hours (Rule 7).

Patient rights

Requests to access, correct or erase data, and grievances answered within 90 days at most (Sections 11–13, Rule 14).

Retention & deletion

Personal data erased once its purpose is served, unless another law requires it to be kept (Section 8(7)).

This page covers the DPDP Act, 2023 and DPDP Rules, 2025 only. Healthcare providers may have further obligations under other laws and professional guidelines; confirm them with a qualified legal adviser.

How we work

From front desk to dashboard

  1. 1

    Watch the clinic run

We observe registration, consultation, billing and follow-up, including the paper and WhatsApp workarounds.

  2. 2

    Map patient data

Every place patient data is collected, stored and shared, so DPDP controls go in the right places.

  3. 3

    Build the first module

Usually appointments and reminders, or billing, in use within weeks.

  4. 4

    Expand in stages

Records, lab, pharmacy and dashboards added as the team settles in.

  5. 5

    Support

Maintenance, updates and improvements on a monthly retainer.

Common questions

Healthcare software & DPDP FAQ

Does the DPDP Act apply to clinics and hospitals?+

Yes. Clinics, hospitals, labs and other healthcare providers that process patients’ personal data in digital form are Data Fiduciaries under the DPDP Act, 2023. Most obligations apply from 13 May 2027.

Is health data treated as sensitive data under the DPDP Act?+

The DPDP Act does not create a separate “sensitive” category, but health data is personal data, and the Board considers the type and nature of the data affected when deciding penalties. Treat patient data with strong safeguards.

Do clinics need parental consent for child patients?+

Not for treatment itself. Under Rule 12 and Part A of the Fourth Schedule to the DPDP Rules, clinical establishments, mental health establishments and healthcare professionals are exempt from verifiable parental consent when processing is restricted to providing health services to the child, to the extent necessary to protect her health. Any other processing of a child’s data, such as marketing or analytics, still needs verifiable parental consent.

What clinic software does Kaivan Tech build?+

Custom clinic and healthcare software: appointment and queue management, patient records, billing, reminders, lab and pharmacy workflows, patient communication on WhatsApp and web, and owner dashboards, designed with DPDP controls built in.

Can you make our existing clinic software DPDP compliant?+

We can assess how your current software and processes handle patient data and implement the missing controls, such as notices and consent, access logs, rights requests and retention, where the system allows it.

Should a clinic build custom software or buy an off-the-shelf clinic system?+

If an off-the-shelf clinic system fits your workflow, buy it. Custom software makes sense for multi-specialty clinics, chains or unusual workflows, or when you need tight integration with your own lab, pharmacy or patient communication.
