CRM vs ERP
CRM vs ERP: Which Does Your Business Need?
By Kaivan Tech · Published 4 November 2026 · Updated 4 November 2026
Short answer
A CRM manages customers and sales: leads, follow-ups, deals and customer history. An ERP manages operations and resources: orders, inventory, purchasing, production, billing and finance. Sales-led businesses usually need a CRM first; businesses with stock, production or complex orders need an ERP. Growing businesses often need both, connected so a won deal becomes an order without retyping.
- CRM manages
- Leads, pipeline, follow-ups, customer history
- ERP manages
- Orders, inventory, purchasing, production, billing, finance
- CRM first if
- Your bottleneck is lost or slow leads
- ERP first if
- Your bottleneck is stock, orders or month-end reporting
CRM vs ERP at a glance
| CRM | ERP | |
|---|---|---|
| Main purpose | Win and keep customers | Run operations efficiently |
| Main users | Sales, marketing, customer support | Operations, purchasing, warehouse, finance |
| Typical modules | Leads, pipeline, tasks, quotes, campaigns, tickets | Orders, inventory, purchasing, production, billing, accounting |
| Key question it answers | Which leads should we follow up today? | Do we have stock, and what did we earn this month? |
| Data | Customers and interactions | Products, stock, transactions, finances |
Which one do you need first?
- Leads come from many channels and follow-ups get missed → CRM
- Sales are fine but stock, dispatch or production are chaotic → ERP
- Month-end reports are rebuilt by hand from several sheets → ERP
- Salespeople cannot see order or payment status → connect CRM and ERP
- Fewer than five people and a simple process → a spreadsheet or off-the-shelf tool may be enough for now
Do you need both?
Many growing businesses do. The value comes from connecting them: when a deal is won in the CRM, the order, stock reservation and invoice are created in the ERP automatically, and salespeople see delivery and payment status without asking operations. That connection is where most off-the-shelf combinations struggle, and where custom software is often worth it.
Custom or off-the-shelf?
Off-the-shelf CRMs and ERPs work well when your process is standard. Custom CRM or ERP development is worth considering when your process does not fit, when per-user fees are growing quickly, or when you need the two systems tightly connected to each other and to channels like WhatsApp or IndiaMART.

What is the difference between CRM and ERP?+
A CRM manages customers and sales (leads, follow-ups, deals and customer history), while an ERP manages operations and resources (orders, inventory, purchasing, production, billing and finance).
Does a small business need a CRM or an ERP first?+
Choose the one that fixes your biggest bottleneck. If leads are being lost or follow-ups missed, start with a CRM; if stock, orders or month-end reporting are the problem, start with an ERP.
Can CRM and ERP be combined in one system?+
Yes. Some businesses use one custom system with both sales and operations modules, and others connect separate CRM and ERP tools through integrations so data flows between them automatically.
Should I build a custom CRM or ERP?+
Build custom when your process does not fit standard products, when per-user licences outgrow their value, or when you need tight integration between sales and operations. Otherwise a configured off-the-shelf product is usually cheaper and faster.
